What is recorded
The records the platform keeps about sign-ins, invitations, consent and approvals, and the things it deliberately does not track.
The platform records the steps people may need to check later, such as invitations, agreements and approvals. It also leaves some things untracked on purpose. This page lists both.
Sign-ins and invitations
Every invitation sent from the admin portal is logged. The employee list shows when an invitation was last sent, and marks a person Active once they have signed in.
When the platform sets up a sign-in for someone already on a roster, it records that it did. When it declines, the reason is recorded without the email address that was typed.
Agreements and consent
When someone joins through a join link, the platform records that they accepted the terms and privacy notice, and which version they accepted.
In the wellbeing welcome survey, each person's choice about the optional sections is recorded together with the exact version of the consent wording they were shown.
When someone finishes a wellbeing survey, the time is recorded against their account so the platform knows when the next check-in is due.
Approvals
These apply where the module is switched on for your organisation.
Time Off shows each person their leave requests for the current leave year, with the status of every request.
Timesheets with approvals keep a history for each week of every submission, approval, return and reopening, readable by the employee, their project leads and their admins.
Where an organisation publishes company documents for people to read and confirm, an acknowledgement cannot be changed once made, by anyone, admins included. The record shows who acknowledged which version, and when.
Notifications
Each notification is marked as handled once it has gone out, so the same email is never sent twice. When someone has switched email off, the notification is still marked as handled and stays in their inbox.
Not tracked
Your organisation's standing support page records no views, and the page says so.
Accessibility settings are saved in the person's own browser, not in their account.
Whether you have pressed Show figures on your Total Reward statement is not saved anywhere. The figures are blurred again the next time you open the page.
Questions
Requests about your personal data go through your HR team, as the privacy panel in Settings explains.
No. Once made, an acknowledgement cannot be edited by anyone.
