Signing in
How employees and admins sign in with a work email and a one-time link, how invitations and join links work, and what happens when someone leaves.
Nobody has a password. You type your work email, we send a sign-in link to it, and the link opens the platform. Every visit works the same way, on a computer or a phone.
Where to sign in
Employees sign in at app.alltoogether.com. Admins and line managers sign in to the admin portal at manage.alltoogether.com. An admin can also use the employee app with the same email.
Sign in with an email link
Type your work email on the sign-in page and press Continue.
Open the email we send you and click the link. You can open it on a different device from the one you asked on.
The link opens a page with a button. Press it to finish signing in. The button is there because some email security systems open links automatically, and the link only gets used when a person presses it.
The sign-in page shows the same message whatever address you type, so nobody can use it to test who works where. It reads: "If that email is on your employer's roster, a sign-in link is on its way. Check your junk folder if it has not arrived in a few minutes."
You do not need an invitation first. If your work email is on your employee record, you can sign in straight away.
Invitations
Admins can send an invitation from the employee list, to one person or to a selection at once. The email is titled "You've been invited to Alltoogether" and opens the sign-in page with the address already filled in. Once a person has signed in, the list shows them as Active in place of the invite button.
Join links
Some organisations share a join link so people can add themselves, posted in a chat channel or printed on an A4 poster with a QR code.
Open the link and enter your work email. Tick the box accepting the terms and privacy notice.
Click the sign-in link we email you. It brings you back to the same join page.
Press Join. You are added to your organisation's roster.
A join link lasts 30 days. If it has expired you will see "This link has expired"; ask whoever shared it for a fresh one. If you are already on the roster, the page says so and offers a link to the check-in.
Single sign-on
Signing in through your organisation's own work accounts can be set up per organisation, on request.
Signing out
Go to Settings and press Sign out. This ends your session and returns you to the sign-in page. It works the same in the employee app and the admin portal.
Your first visit
Most people get a short tour the first time they sign in, covering only the screens their organisation has. Close a step and the tour waits for you, with a pill to carry on from the same place. Finish or Skip tour ends it for good, on every device.
When someone leaves
Once a person's leaving date has passed, their record is marked as a leaver overnight. From then on they cannot set up a new sign-in, and they cannot be sent an invitation. A leaving date entered in advance is saved straight away and takes effect when the day arrives.
Good to know
The link goes to the email address on the employee record, and only there. If a record holds a personal address, that is where the link goes.
One email belongs to one person. If the same address sits on two employee records, sign-in will not work until one is corrected. The same applies if your email belongs to an active employee at another organisation; a join link will refuse it and suggest you contact your admin.
The admin portal only opens for people whose record gives them an admin or line manager role. Anyone else who signs in there is sent back to the sign-in page.
Your account email is shown in Settings but cannot be changed there. Ask your HR team to change it on your record.
Questions
There is none. Each visit is a fresh link sent to your work mailbox.
Check your junk folder first. Then check with your HR team that the address on your record is the one you typed. Admins can resend an invitation from the employee list.
Enter your email again and a fresh link is sent. If you clicked the link twice and are already signed in, the platform carries on as normal.
