Launching the check-in

Choose who receives the check-in, see exactly what they will see, add a launch message and start the first round.

The Intelligent Wellbeing Engine is already in your platform. Your people receive nothing until you choose who takes part and press Launch. After that, rounds run every fortnight without you doing anything.

Choose who receives the check-in

Pick either everyone on your active roster, which is the default, or a pilot group of people you search for by name. Five people is the minimum. If your choice is under five, the page tells you how many more you need.

See what your people will see

See what your team will see walks you through the real check-in questions exactly as an employee sees them. You can tap through, and nothing is saved or sent.

Send me a test invite emails you the real invitation. Sending one counts you as a respondent, so the roster and results counter moves.

Press Launch

Launch starts the first round, once your chosen group has at least five people. Invitations go out by email.

Your launch message

You can add a short message from someone at your organisation, with their name and role. Once you have written and approved it, it appears as a highlighted quote in every invitation and reminder email until you change it. If you set up through the guided setup, the message starts from a draft you can edit.

Changing who is in

You can widen a pilot group to everyone, or go back to a pilot group, before or after launch. People you add are sent their invitation within minutes. People outside the group you chose are not sent the check-in.

What happens after launch

Each round is open for 14 days. When one closes, the next fortnightly round opens automatically, and they never overlap. Invitations go out by email when a round opens, and anyone who has not answered gets one reminder 48 hours later. See Results emails.

Guided setup

A new admin who has not launched yet sees a four-step setup. It covers a few details about your company, getting your team onto the roster, your launch message, and your support map. You can skip steps. If you skip the support map, it stays on your dashboard as an open item. Once you have launched, setup sends you straight to your dashboard.

Setup emails

If your organisation uses the Intelligent Wellbeing Engine on its own, has not launched, and has fewer than five people on the roster, each admin receives up to three short setup emails in the first fourteen days after signing up. They explain the five-person minimum and how to add people: the People page, a CSV upload, or a join link with a printable QR poster. The last one offers a 15-minute setup call. Every one has a one-click unsubscribe.

Good to know

  • The system enforces the five-person minimum again at the moment you press Launch.
  • If the check-in has been switched off for your organisation, the checklist says so and Launch is not available. Your people see "Check-ins aren't running here yet".
