Results emails

Every email the Intelligent Wellbeing Engine sends to your people and to your admins, and when each one goes.

The Intelligent Wellbeing Engine sends a small, fixed set of emails. Your people get an invitation and, if they need it, one reminder each round. You and your fellow admins get an email when results are ready, and one when each round closes. No email ever contains a score.

To your people

The invitation

When a round opens, everyone in the group you chose gets an email with a link straight into the check-in. Someone who has not yet done the welcome survey gets a version headed "Your welcome survey is ready" instead; the link goes to the same place.

Each invitation carries:

  • your launch message, if you have written one, as a quote with the author's name and role
  • support numbers in the footer, and a link to the privacy notice
  • a link to your standing support page, once your organisation has one (if you revoke that link, the line is left out)
  • a line saying it is a service message, not marketing

The reminder

Anyone who has not answered 48 hours after the round opened gets one reminder email. People who have already answered, or have already had their reminder, are skipped. There is no third email in a round.

To you and your fellow admins

These go to every active HR and organisation admin at your organisation.

You get one of the two round-closed emails per round, never both. After a round closes, the system waits up to two hours before deciding it had too few answers, so late figures are not missed.

None of these emails includes a score or any wellbeing result. Results stay behind your login, because emails go stale and get forwarded.

Good to know

  • Results emails are on by default and can be switched off. If you would rather not receive them, tell us.
  • The emails to your people are sent whatever your results email setting is.
  • A check-in invitation only ever goes to people in the group you chose. See Launching.
