Record cover you hold outside Alltoogether so your people can see it, and keep it confirmed so it stays current.

Some of your cover may be arranged by someone other than us. Benefit information lets you record it yourself, from your own policy documents, so your people can see it in their Benefits page next to the policies we manage. You enter it, you own it, and nothing shows to your people until you publish it.

How it sits beside Policies

Policies holds the cover we arrange and maintain for you. Benefit information holds what you enter yourself. The two never mix. Nothing you enter here changes a policy we manage, and your people see your entries in their own clearly labelled section, marked as entered by your employer.

The screen groups your entries by status, with a member count on each:

  • Draft, which your people cannot see.
  • Current, which is published and visible.
  • Needs review, which is still visible but marked as possibly out of date.
  • Ended.

Add an arrangement from your schedule

Add a new arrangement and fill in what your policy schedule or renewal letter says. That covers the benefit type, the provider or insurer, the product name, the policy or scheme reference, policy start and end dates, the renewal date and the date any rate guarantee runs to.

Say which document the details come from and its date, and upload it. A schedule or renewal letter is the usual source. It is kept as your evidence.

Add an internal owner and any notes for your admin team if you want to. Notes are for admins only.

If you use a broker for this cover, you can record their name for reference. Recording it gives them no access to anything.

Add and confirm members

Add the employees who are covered by the arrangement. You can confirm that someone is still a member, and end a member's membership when they leave the scheme.

Your people see where they stand on each arrangement in plain words: "Included, confirmed by your employer", "Added by your employer, not yet confirmed", or "Not recorded as included".

Publish

A new arrangement starts as a draft and stays invisible to your people. Publishing is your confirmation that the details match the policy documents. Once published, it appears in your people's Benefits page.

Needs review after 30 days

A published arrangement needs confirming again every 30 days, and after any change you make to it. If it goes unconfirmed, or the end date you recorded passes, it is marked Needs review and you re-confirm and publish it again.

Your people still see an arrangement that needs review, with a notice that the information may be out of date.

End an arrangement

When a policy lapses or is replaced, mark the arrangement as ended. It leaves the current view and your people stop seeing it.

Good to know

  • Drafts and ended arrangements never reach your people. Only current and needs-review arrangements show, and each person sees only their own membership.
  • The details are entered and owned by your organisation, which is why the screen asks you to confirm them regularly.
