Set up and launch

Get your people onto the roster, write the launch message, list your support and send the first wellbeing check-in.

Setup takes you from an empty portal to a first wellbeing check-in your people can answer. Until your organisation launches, a four-step wizard fills the screen when you sign in. You can skip a step and come back, and the portal keeps reminding you about anything still open.

Where to find it

The wizard opens by itself when you sign in before launch. Once your organisation has launched, signing in takes you to your dashboard instead.

The four steps

  1. About your company. How many people you employ, roughly, and your sector. Always skippable.
  2. Get your team in. Add the people who will receive the check-in, in any of three ways.
  3. Your launch message. Edit the drafted note that goes out with the first invitation.
  4. Your support map. Confirm the support you already offer. Skippable.

Build your roster three ways

Results appear only once five people have answered. Below five, no figure is calculated at all. That is why the wizard counts towards five while you add people.

Type a first name, last name and email address on each row, adding rows as you go. A running count shows how many rows are valid, and the button reads "Add N people". This suits a handful of people or a pilot group.

Write the launch message

The wizard gives you a drafted announcement to edit. It goes out with the first invitation, with the author's name on it, by email.

Put it in the name of someone senior at your organisation if you can. A short note from a leader is also one of the ideas our email gives you when a round closes without enough answers.

Set up your support map

This step runs the guided sweep from the Support page. It asks, type by type, whether you offer support such as an employee assistance programme, counselling or a GP line. Where your insurance policies already answer, the answer is filled in.

If you skip it, "Set up your support map" stays open as a checklist item on your dashboard until you finish it from the Support page.

See what your team will see

Press See what your team will see, in setup or on your dashboard, to walk through the real fortnightly check-in questions exactly as an employee would. You can tap answers. Nothing is saved and nothing is sent.

Send me a test invite emails the real check-in invitation to you. Answering it counts you as a respondent, so you will see the counter move.

Launch

Until your first check-in opens, the Wellbeing page shows a launch checklist where the results will later be.

Choose who is in. The check-in goes to everyone on your active roster unless you pick a pilot group by name. If the group is under five, the screen tells you how many more people you need.

Preview the check-in, if you have not already.

Press Launch. It only works once your group has at least five people, and the minimum is checked again as you press it.

You can widen a pilot group to everyone, or narrow it again, before or after launch. People you add to the group are invited within minutes.

After launch

On the free wellbeing plan, the dashboard shows labelled example figures before launch. After launch, until there are results, it shows invitations sent, the reminder sent and how many people have answered.

You and your fellow admins get an email the first time results are ready, and another each time a round closes. That one either says results have updated or explains that the round closed with fewer than five answers, with ideas for lifting the response next time.

Good to know

  • If you sign up for the free plan and stop before reaching five people and launching, we send up to three short reminder emails. Each one has a link to stop them.
