Invites and access

Invite your people one at a time or in bulk, let them join without an invite, and give admin or line manager access.

Nobody uses a password on Alltoogether. People sign in with their work email and a one-time link. An invitation is the friendly way to tell someone the platform is there, but anyone already on your roster can sign in without one. This page covers both, and how to give a colleague admin or line manager access.

Where to find it

Employees, under Manage. Invite buttons sit on each row of the roster, and access controls sit on each person's record.

Invite one person

Each row on the roster has a Send invite button. Once an invitation has gone out, the button reads Resend invite, and hovering over it shows the date it was last sent. When the person has signed in, the button is replaced by a green Active badge.

The invitation opens the sign-in page with their email address already filled in.

Invite many people at once

Tick the people you want to invite, then send. The "select all invitable" box ticks everyone in the current filtered view who can be invited, so filter by department or location first if you want to invite in waves. When the send finishes you see how many invitations were sent, skipped or failed.

Invitations are refused for anyone who has already signed in, anyone who has left, and anyone with no email address on their record.

Joining without an invite

Anyone on your roster can go to app.alltoogether.com, type their work email and press Continue. If the address belongs to an active employee at your organisation, a sign-in link arrives by email. The page shows the same message whether or not an address is known, so nobody can use it to find out who works where. It tells people to check their junk folder if nothing arrives.

For people who are not on your roster yet, share your join link or put up the joining poster (see Set up and launch). Someone who opens the link enters their email, ticks the terms, and gets a sign-in link that brings them back to the join page. They press Join to add themselves to your roster.

  • A join link lasts 30 days. An expired link tells people to ask whoever shared it for a fresh one.
  • Someone who is already an active employee at another organisation on Alltoogether cannot join a second one through the link. They are asked to contact their admin or support@alltoogether.com.

Signing in to the admin portal

Admins sign in at manage.alltoogether.com the same way, with their work email and a one-time link. The link opens a confirmation screen with a button to press. That step stops email security scanners from using up the link before you click it.

Only admins and line managers can use the admin portal. Anyone else who signs in there is sent back to the sign-in page.

Give someone admin access

Open their record from the roster.

Under platform access, grant org admin access and confirm.

An org admin can sign in to both the admin portal and the employee app, and manage your whole organisation. The person needs to have signed in at least once before you can grant it. You cannot remove your own admin access from this control, so another admin has to do it.

Give someone line manager access

On a person's record you can grant or remove line manager access, with a confirm step. A line manager can sign in to the admin portal and sees only the leave requests of their own direct reports.

Most of the time you will not need to do this by hand.

  • When you give someone their first direct report, they get line manager access automatically, as long as they already have an account and are not already an admin.
  • When someone signs in for the first time and already has direct reports recorded, their account is created as a line manager straight away.

Access is never taken away automatically. Removing it is always a deliberate click by an admin.
