Benefits and policies
See the insurance policies we arrange for you, who is on each one, and the documents and forms that go with them.
Every policy we arrange for you is already loaded into your admin portal, with its members, its cover details and the people to call. You can read all of it, download member lists and give your people the forms they need. Changing a policy is our job as your adviser, so the policy screens are read-only for you.
Where to find it
Policies under Manage, and Benefits under Insights, in the admin portal.
Read your policy schedule
Policies lists each of your insurance policies with the product name, type, insurer, status, premiums, how many members it has, when cover started and its renewal or anniversary date.
Open a policy to see the whole record. That includes the policy number, the insurer and scheme administrator, the claims number, premiums, member count, rate guarantee expiry, how it is paid and how often, and the support phone number and email.
Each policy is split into cover categories. Open a category to see the cover detail for that kind of product (for private medical insurance, things like the excess, hospital list, cancer cover and mental health cover) and the list of live and lapsed members in it.
Download a member list
From a category on any policy you can download a CSV of its live members or its lapsed members. It is the quickest way to check the list against your own payroll or HR records.
Give your people the group life beneficiary form
On a Group Life Assurance policy you can upload the insurer's blank beneficiary nomination form as a PDF, up to 10MB. Once it is there, your people see a "Download the blank form" link on that policy in their own Benefits page.
The Benefits overview
Benefits under Insights is a read-only summary of the whole estate on one screen. It shows how many active policies you have, how many members they cover between them, the annual premium and how many insurers you deal with, with a table of policies and member counts underneath. Use it for a quick picture. Use Policies when you need the detail.
If you want the same summary as a spreadsheet, Reports has a Benefits Summary export.
Policy documents
Scheme booklets, policy terms and other documents attached to your policies sit under Documents. You can add your own there too. See Documents and Policy Hub.
Good to know
- Policies, categories, members and premiums are kept up to date by us. If something is wrong, or someone needs adding to or removing from a policy, talk to your adviser rather than looking for an edit button.
- The support services that come with your policies, such as an employee assistance programme or a GP helpline, are also maintained by us. When we change one, your people see the change automatically.
- When a leave date is entered for an employee, every benefit membership they still have open is closed on that date. Clearing the leave date afterwards does not reopen their cover; that stays a decision for you and us.
- Cover you hold outside Alltoogether lives on a separate screen, Benefit information, and never mixes with the policies we manage. See Benefit information.
- You will see a "Book a free benefits review" button in parts of the portal. It opens a booking calendar for a conversation with us. It always carries our regulatory disclosure, and no wellbeing result is ever used to underwrite or price insurance.
Questions
Because the policy belongs to the arrangement we manage with the insurer. Editing it in the portal would put your screen out of step with what the insurer holds. Tell your adviser what has changed and we update both.
Check the category's live members list first, then contact your adviser. Membership is agreed with the insurer, so we make the change for you.
Each person sees only their own current memberships, with the cover detail for each one in plain English. They never see the member lists or anyone else's cover. A membership that has ended drops off their list.
On each policy, and all together on the Renewals screen.
