HR system sync

What a connection to BrightHR, Breathe HR, Personio or Sage HR does once it is on, and how to check it from Settings.

Switched on per organisationThis is built and working, and is switched on for each organisation on request. Ask your account manager, or reply to any email from us naming it.

If your organisation keeps its absence records in BrightHR, Breathe HR, Personio or Sage HR, a connection brings them into Alltoogether each night, so nobody has to key them in twice. With BrightHR it also keeps your roster up to date as people join and leave.

There is no button in the portal to start a new connection. If you use one of these systems and want it connected, ask us.

Where to find it

Settings, in the HR system card. The card only appears once your organisation has a connection.

What the sync brings in

Every night the platform reads sickness, holiday, time off in lieu and other absence from your HR system. It looks back over a rolling 92 days, so late entries and back-dated changes are picked up.

Free-text reasons and diagnosis notes are dropped before anything is saved. From BrightHR the sync keeps whether a sickness absence was certified, and nothing more about it.

When a night's run finds real changes, you and the other admins get one summary email. It gives counts only, never names or dates.

Starters and leavers (BrightHR)

With BrightHR, the sync also compares the employee list in BrightHR with your roster and applies what it finds: new starters, leavers, rehires and people who have dropped out of the feed. If a large share of people vanish at once, it stops instead of making the changes, so a broken or empty read is never mistaken for a wave of leavers.

A leaver's date from the sync works the same way as one you type in. Their benefit cover ends on that date and their status changes overnight once it has passed. See People.

Breathe HR, Personio and Sage HR connections bring in absence only.

The Settings card

  • The time of the last sync and whether it worked, or the reason it failed.
  • Sync now, to ask for a run straight away.
  • A review list of people found in your HR system whose email did not line up with anyone on your roster. For each one you can link them to an existing employee, add them as a new starter, or dismiss them (a contractor, for example).

Good to know

  • Absence never sits next to anyone's wellbeing answers. On the Wellbeing page it only appears as monthly figures for the whole organisation, calculated from five or more people.
  • From Sage HR, only approved leave comes across, never requests still waiting for a decision.
