Calendar and closure days

Add company events and holidays, book a company closure against everyone's leave, and excuse or re-book individuals.

The company calendar holds your events, holidays and deadlines in one place for your people to see. If you close for a few days, at Christmas for example, one tick books those days against everyone's annual leave so balances stay right without anyone doing the sums.

Where to find it

Calendar under Manage in the admin portal. Your bank holiday calendar is under Settings.

Add an event

Give it a title, a description, and start and end dates.
Pick a type: Company Event, Awareness Campaign, Holiday, Deadline, Social or Other. Choose a colour and add a tag if you want one.
Tick the departments it is for. Leave them all unticked and it is for everyone.

The people an event is for get a notification about it, by email too unless they have switched email notifications off.

You can edit or delete any event later.

View the calendar

Switch between a month grid and a list, with counts of upcoming and past events. An optional Leave & sickness layer, off until you turn it on, adds everyone's approved leave and recorded sickness to the view, and you can filter it by department or team and search by name. That layer is for admins only. Line managers and employees never see it.

Your people see colleagues in their own department who are away as a name and dates, and nothing more. The type of leave and the reason are never shown to them.

Book a company closure

When you add a Holiday event, you can tick Deduct these days from annual leave allowances. Each weekday of the closure is then booked as approved annual leave for every active employee, so their balances show those days as taken.

Leave the box unticked and the days are non-working days on top of everyone's normal allowance.

A holiday can be aimed at particular locations or departments instead of the whole organisation. Someone with no department or location on their record is only included in a closure that covers the whole company.

Excuse or re-book one person

If someone should not lose a day to a closure, excuse them from the Balances tab of Leave. The day goes back to their allowance. If you excused them by mistake, re-book it from the same place. Excusing and re-booking send no email. Your people cannot cancel their own share of a closure; only an admin can excuse them.

Remove a closure

Delete the holiday, or untick its leave deduction, and every booked day in the current leave year goes back to the people it was taken from. Bookings from a leave year that has already rolled over are left alone, so nobody is credited twice.

Choose your bank holidays

Under Settings, pick the bank holiday calendar your organisation follows: England and Wales, Scotland, or Northern Ireland. That choice sets the non-working days on your people's calendar, their leave day counts, timesheets and closure bookings.

Switched on per organisationCalendars for Spain, Romania, the US and US states are switched on per organisation by us, as is setting a different calendar for an individual employee on their own record.

Good to know

  • Closure bookings never send leave-approved emails, whether they are created, excused or re-booked.
  • Events are aimed at departments. Holidays can be aimed at departments or locations.
