Find and download your personal documents and your company's policy documents, spot anything about to expire, and read and acknowledge company documents.

Documents keeps your own paperwork and your company's policy documents in one place. You can search them, download them, and see at a glance if anything is about to expire.

Where to find it

Documents in the menu. A shorter list of your own documents also sits on the Your documents tab of your profile.

What is on the page

At the top are counts of your personal documents, the company policy documents, and your documents that expire soon.

Below them are two tabs.

My Documents holds documents your HR team has uploaded for you alone, such as your contract, payslips, P45 or P60, certificates, right-to-work or ID documents and offer letters. Each one can be downloaded.

Company Policies holds the documents attached to your employer's insurance policies, such as scheme booklets. Everyone at your organisation sees the same list, with the most recently added first.

Search and filter

The search box looks through titles, descriptions and tags. If a tab holds more than one type of document, a row of filter buttons appears so you can narrow it to one type. Search and filters apply to whichever tab you are on.

Expiry flags

If a document of yours has an expiry date, it is marked Expired once that date has passed, or Expires soon when it falls within the next 90 days. The Expiring Soon count at the top turns red when anything is due, and green when nothing is. It only counts your own documents, never company ones.

Company documents to read and acknowledge

Switched on per organisationSome employers use this to share handbooks and policies for staff to read and confirm. If your employer has not switched it on, you will not see this section.

Your employer can publish company documents, such as the staff handbook, policies, procedures and notices. They appear in a Company documents panel above the tabs, with anything you still need to read at the top and a count of how many are waiting. While any are waiting, your home page also shows a banner with the number of company documents to read and a Read Now link.

Each document has a label showing where you are with it: To read, Updated, please read again, For information, or Acknowledged with the date you confirmed.

Select Open on the document. It opens in your browser. If you are signed out, you sign in first and come straight back.

Read it. If it asks for confirmation, the I have read and understood button becomes available once you have opened the document.

Select I have read and understood. The label changes to Acknowledged with today's date.

If your employer updates the document while you have it open, the app asks you to open the new version before you acknowledge it.

Your employer can see, for each document, whether you have opened it and whether you have acknowledged it, and when. Once you acknowledge a version, that record is kept as it is. Nobody can edit it, including your employer.

Good to know

  • Documents your employer marks as confidential do not show on these pages.
  • A company document link only opens for people at your organisation who are allowed to see it, so forwarding the link to someone else will not give them access.
  • If a document is updated, its label may change back to Updated, please read again.
