Timesheets

Log time against your projects, submit your week for approval, and review your team's weeks if you are a project lead.

My Timesheet is where you record the time you spend on each project. Your days off are filled in for you, so the week you see already accounts for leave, sickness and holidays. If your employer uses weekly approvals, you submit each week here and your project lead reviews it.

Some organisations call projects "matters". If yours does, the page uses that word throughout. Nothing else changes.

Where to find it

My Timesheet in the menu. If you are not assigned to any project yet, the page says so and your HR team or administrator can add you.

Your week

The page shows one week at a time, Monday to Sunday. Use the arrows to move back through earlier weeks. You cannot move past the current week, so time is never logged in advance.

Above the week, a card for each of your projects shows the client name, the project code, and your hours over the last eight weeks. Where your employer has set an hours budget for you on that project, the card shows your hours against it.

Days off appear inside the week automatically, marked "Off" with a full or half day label. They come from approved leave, sickness you have recorded, company closures and bank holidays. You never type them in. If a day off is missing, the leave was not booked or the sickness not recorded on the Time Off page. Where your contracted hours are on your record, the week header also shows the hours still expected that week.

Log time

Choose one of your projects and the date. The date can be today or earlier, up to a year back.

Enter the time spent. You can type hours (1.5), hours and minutes (1:30) or minutes (90m).

Tick or untick billable. It starts at the project's own setting.

Add a note if it helps, such as a few bullet points of what you worked on, then save.

A single entry must be between one minute and 24 hours. You can only log time to projects you are a member of, and not to a project that has been closed. Each problem has its own message on screen.

To change an entry, use the pencil icon. You can edit any detail, including moving it to another project you are on. The bin icon deletes an entry straight away, without asking you to confirm.

Copy last week

Where your organisation has this switched on, an empty week that has started offers to copy last week's entries in one click. It copies the project, day, time and billable setting, and never the notes. Afterwards a message tells you how many entries were copied and how many were skipped, because they fell on a future day or on a project you are no longer part of. A week that already has entries cannot be copied into.

Submit your week

If your employer uses weekly approvals, each week carries a status of Open, Submitted, Approved or Returned.

When the week is done, press Submit week. Every entry in it then locks. You cannot edit, delete or add time to a submitted or approved week, and a banner explains this. If you submit a week with nothing logged, the page asks you to confirm.

Your project lead is notified. If you are a lead yourself, or have no lead, your organisation's administrators are notified instead. You hear back when the week is approved or returned.

A returned week shows a red "Returned for changes" banner with your lead's note. The entries unlock, and once you have fixed them you press Resubmit week. An administrator can also reopen an approved week that needs correcting, and you are told when they do.

Without weekly approvals, every week stays open and there is nothing to submit.

If you are a project lead

Leads see a second tab, Approvals, while weekly approvals are on. A red badge shows how many weeks are waiting for you.

The queue lists submitted weeks from people on your projects. Open a row to see that person's entries and days off for the week, day by day, with the hours split by project. Approve is one click. Return needs a note saying what to change, such as "Tuesday looks like 8h on the wrong project", and unlocks the week for them.

A second view lists who on your projects has not submitted, split into people who logged time but did not submit and people who logged nothing. It opens on last week, and you can switch to this week or any of the four weeks before. Nobody is listed for a week before they started.

Good to know

  • You never approve your own week. A lead's own week is approved by an administrator, and an administrator's own week is approved automatically.
  • On a phone, the bottom bar has a Timesheet tab only where your organisation has the newer timesheet features switched on. You can always reach it from the menu.
