Leave and sickness

Book time off, check your balance, cancel a booking and record sickness from the Time Off page.

Switched on per organisationThis is built and working, and is switched on for each organisation on request. Ask your account manager, or reply to any email from us naming it.

The Time Off page is where you book holiday and other leave, see how many days you have left, and record a day off sick. Your balance updates the moment anything changes.

Where to find it

Time Off in the menu. The My Leave card on your home page links here too. If your employer has not switched leave on, the page is not in your menu.

Your balance

There is one card for each type of leave that comes with an allowance. Each shows your total for the year, how many days you have used, how many are pending, and how many remain. Your total includes any days carried over from last year and any adjustments HR has made.

Leave types recorded without a limit have no card.

Balances run over your employer's leave year, which may not start in January. Unused annual leave carries into the next year up to a limit your employer sets, and anything above it is lost.

If HR changes your annual allowance, your remaining days update straight away. Days you have already used or booked stay as they were.

Book leave

On the Time Off page, choose the type of leave.

Pick a start date and an end date. You can mark the first day, the last day, or a single day as a half day, and choose morning or afternoon.

Add a note if you want to, such as "Holiday" or "personal day".

Check the day count the form shows, then submit.

The day count leaves out weekends, bank holidays for your region, and company holidays that apply to you. The platform checks the figure again when you submit.

Your request goes in as pending and your line manager is notified, or your HR team if you have no line manager on record. You get an email and an inbox notice when it is approved or declined, with the reason for a decline if one was given.

Rules the form checks

You cannot book a day, or half a day, already covered by another pending or approved request of yours. The message names the clashing dates. A morning off on one request and an afternoon off on another, on the same day, is fine.

The form also refuses an end date before the start date, and a request that contains no working days at all, such as a weekend on its own.

Sickness is not on this form. It has its own, described below.

Cancel or change a booking

You can cancel a request that is still pending with one click. The days go straight back to your balance and nobody is notified.

For approved leave that has not started yet, you ask for a cancellation instead. The request shows as "cancellation requested" and the days stay booked until your manager or HR decides. Your manager is notified, and you hear back either way.

You cannot cancel leave that has already started from the app. The message asks you to speak to HR.

Your history lists this leave year's requests, newest first, each with its dates, day count and status.

Company closure days

If your employer closes for a few days, such as over Christmas, and counts them as annual leave, the platform books those days for you as approved leave. They appear in your history as one entry with the closure's name.

A closure can apply to everyone, or only to one department or location. You only see, and are only charged for, closures that apply to you.

You cannot cancel your own closure days. If you should not be included, HR can excuse you. Neither the booking nor an excusal sends you an email.

Bank holidays

Bank holidays follow the calendar your employer chooses: England and Wales, Scotland, or Northern Ireland. Some organisations also have other countries' calendars switched on, so staff based abroad can follow the bank holidays where they live.

Bank holidays inside a request are not taken from your allowance. If you are on a contract rather than permanent employment, bank holidays are treated as ordinary working days and are counted.

Record sickness

On the Time Off page, open Log Sickness.

Enter your first day off. Leave the last day blank if you are still off.

Tick the box if you have a fit note, then save.

Only dates are recorded. There is no space for a reason or medical details, by design. Your line manager is notified with the dates only, or your HR team if you have no line manager on record. Sickness never reduces your leave allowance.

When you are back, open the ongoing record and add your last day off. It must fall between your first day and today. Closing a record sends no notification.

The form refuses a first day in the future or more than a year ago, and dates that overlap sickness already on record. Your sickness history covers the last 12 months, showing each absence as ongoing or closed.

Good to know

  • If your employer connects an HR system, sickness recorded there can appear in your history. You cannot close one of those records from the app; ask HR.
  • Colleagues never see your sickness. On the calendar, people in your department see that you are away, with dates only.
