Profile and settings
Keep your personal details and emergency contacts up to date, choose your notifications, and adjust how the app looks.
My Profile holds the details your employer keeps about you. Some of them you can update yourself, such as your phone number, home address and emergency contacts. Settings is where you choose which messages you get and sign out. An accessibility menu on every screen lets you change how the app looks.
Where to find it
My Profile and Settings at the bottom of the menu. On a phone, Profile is in the bottom bar.
Your profile
The top of the page shows your photo, or your initials if there is no photo, and whether your profile is complete. If it says incomplete, contact HR. There is no photo upload here.
Your profile is split into tabs.
Personal
Your names, date of birth, gender, nationality, marital status and National Insurance number. Press edit to change your middle name, preferred name, gender, nationality, marital status or National Insurance number.
Your National Insurance number is masked, showing only the last four characters, except while you are editing it. The app checks it is in the right format before saving, so a typing mistake is caught here rather than reaching payroll. Clearing the box removes the number.
Your date of birth is managed by HR and cannot be changed here, because it affects the price of benefit cover.
Contact
You can change your personal email, mobile number and home address. Your work email, work phone and workplace postcode are shown but are set by HR.
Employment
Your job title, department, team, location, line manager, contracted hours, work pattern, notice period, start date and similar details. These are managed by HR and are read-only. If something is wrong, tell HR.
Documents
Up to 20 of your own documents shared by HR, such as contracts, payslips or certificates, newest first. Each shows its upload date, any expiry date, and a download link. More on this in Documents.
Emergency contacts
Add a contact with their full name, and optionally their relationship to you, two phone numbers, an email address, and whether they are your main contact. They appear as soon as you save. You can remove a contact at any time.
Preferences
The same notification switches as on the Settings page. Changes here save as soon as you click.
Settings
Settings shows your work email address. You cannot change it yourself; contact HR if it needs updating, since it is how you sign in.
Three switches control your messages:
- Email notifications cover things like survey reminders, recognition and company announcements. They are on unless you turn them off. With them off, everything still arrives in your inbox.
- SMS notifications, for urgent alerts and reminders by text, are off unless you turn them on.
- Marketing communications, for offers, news and updates from benefit and wellbeing providers, are off unless you turn them on.
A privacy panel explains how wellbeing data are handled. Your answers are confidential and visible only to you. Your employer may see anonymous, combined results, and never your individual responses.
The Sign out button is at the bottom of Settings.
Accessibility menu
An "Accessibility" tab sits on the right edge of every screen, including the sign-in page. It opens a panel where you can:
- set text size to small, medium or large
- increase line height and letter spacing with sliders
- turn on high contrast, or the low vision setting, which applies high contrast and large text together
- choose light or dark mode
- choose high saturation, low saturation or monochrome colour
- turn on an ADHD-friendly focus band, which dims the screen except for a strip that follows your pointer
Reset to defaults puts everything back in one go. Your choices are saved in the browser you are using, so set them again on another device.
The product tour
The first time you sign in, a short tour walks you through the menu. It only covers the parts of the platform your employer has switched on, and ends by pointing you to My Profile and Settings.
If you close a step, the tour is hidden and waits for you. A "Continue tour" button lets you pick up where you left off. Finish or Skip tour ends it for good, on every device.
Questions
No, employment details are managed by HR. Ask them to update your record.
Your sign-in is not yet linked to an employee record. Contact HR.
Not yourself. Ask HR to change the work email on your record.
They are stored in your browser. A different browser or device, or clearing your browser data, starts from the defaults.
