Record the starting point
List the arrangements already in place, their renewal dates, your sick-pay commitments and the questions employees raise. Separate an existing promise from a benefit you are considering. Name the person who can approve the budget and the person who will administer the arrangement.
Prepare the discussion about cover
Use the benefit guides to write down the decisions you need help with. Do you want to discuss access to private treatment, support with everyday health costs or financial protection when somebody cannot work or dies? Bring the existing policy documents to a secure discussion. Do not put employee health information into a general enquiry form.
Choose the adviser and agree the work

Before announcing cover
Confirm the terms, eligible members, start date and administration responsibilities with the provider and adviser. Agree what employees need to know, where the documents will be and how they can ask a question or make a claim. Do not announce proposed cover as active before it has been confirmed.
Review as work changes
Review the arrangements when responsibilities, working patterns or existing commitments change. Keep a record of what was considered, what was decided and when it will next be checked. Growth is a reason to review the work; it does not prescribe one benefits package.
